Show Join Open Ballot Invitations

Purpose


To present the procedures for joining Entity Ballot Groups.

Here you can join an open entity ballot group as either the Entity Ballot Representative (EBR) or Entiry Ballot Representative Alternate (EBRA) as long as your employer and affiliation is a paid SA Entity Member.
If you see the screen message:"There are no open ballot invitations at this time"


This message will appear on the screen if there are no entity ballot groups being formed.
Requirements to join an Entity Ballot Group:

  • As the ballot group is composed of entities (e.g., corporations, organizations, SDO's, consortia, etc.), the entity must be a member of the IEEE SA.


  • When you join an entity ballot group, you have an obligation to review, comment, and vote on the document within the specified time frame. You will be voting on behalf of the entity on the acceptability of the project or standard as an IEEE Standard. If approved by the ballot group, the project/standard will be sent to the IEEE-SA Standards Board for approval. To show our appreciation for your effort, the name of the entity will be listed along with the other voters in the front matter of the published standard.



To "Join" a ballot group:

  1. Scroll down the listing to find an open ballot group of interest to you -- these would be any with the term, "Invitation" in the stage column. Scroll over to the "Actions" column and click "join."

  2. You will then be taken to a screen to indicate/enter your Affiliation for this ballot. On the same screen, you will select a "classification" -- select the classification that best represents your organization's to the ballot project and click "OK" at the bottom of the screen.

  3. The screen will then revert back to the original "Show/Join Open Ballot Invitations" screen where you will see an on-screen "confirmation" that you have successfully joined the ballot group. The classification you selected will show under the first column, "Selected Classification."



To "Remove" yourself from a ballot group:


  • After joining an open ballot group, a "remove" link will appear under the "Actions" column in the event that you wish to remove yourself from the group (and if you do so, your classification selection will be removed as well.) An on-screen confirmation will be provided.


  • The "remove" link will be accessible until the invitation closing date shown in this screen. When the invitation closing date is reached, the term "Invitation" in the Stage category will automatically change to "Preballot" and the "remove" link will disappear -- this means that you will no longer be able to remove yourself from the group through myBallot. To do so, you will need to contact your Entity Member Representative (EMR) directly.



    To "Update" (your classification):


    • The "update" link under the "Actions" column is shown for any ballot groups that you have already joined, and will remain visible through the "Invitation" and "Preballot" stages (which means it is accessible until ballot opening).


    • The "update" link is provided for the purpose of changing your organization's classification category before ballot opening to help the Sponsor achieve

      "balance"so that the group can close and the project move to "ballot" stage.


      Summary of the Columns on this Screen

      Selected Classification


      Shows the classification you selected for any open ballot group you joined -- to sort, click the column header.

      Stage


      Four possible stages are shown:

        Incomplete: This stage indicates that the invitation request has not been completed by the Sponsor.

        PreInvite: This stage indicates that the invitation request has not yet been approved by the IEEE SA Staff Liaison. The IEEE SA Staff Liaison will review and approve the invitation request to move it to the Invitation Stage.

        Invitation: This stage indicates that the ballot group is being formed and thus is open for sign-up by IEEE SA Entity Members.

        PreBallot: This stage indicates that the ballot group has been formed and thus is no longer open for sign-up. The "join" and "remove" links no longer appear under the "Actions" column. The "update" link is accessible for individuals to change their organization's classification category, until the time of ballot opening.

      Project

        This column shows the sponsoring society. You can sort the list by sponsor by clicking the column header.

      PAR or Standard #

        When you click on the PAR, the system will open the PAR pdf documents as they were submitted and approved by NesCom. These documents include the project title, scope, and purpose, as well as other important information. This information is made available to help you decide if you want to participate in this sponsor ballot.

      You can sort this list by PAR/Standard # by clicking on the column header.

      Invitation


        A copy of the invitation that was sent for this project is shown here. Invitation recipients should review this invitation as it may contain information specific to the ballot.

      Title


        The title of the PAR or Standard is available here to help you decide if you want to participate in this sponsor ballot. You can sort the list by title alphabetically by clicking on this column header.

      Invitation Close


        This is the date the invitation period will close. You can sort the list by closing date simply by clicking the column header.

      Actions


      Three possible actions are shown:

        Join: Click to join an "open" ballot group -- this link is shown only for ballot groups marked as "invitation" in the Stage column.

        Remove: Click to remove yourself from the ballot group -- this link is shown only for those ballot groups that you have already joined, and is visible for ballot groups marked as "invitation" in the Stage column.

        Update: Click to update (i.e., change) your classification category -- this link is shown only for those ballot groups that you have already joined, and is visible for ballot groups marked as "invitation" or "preballot" in the Stage column.
