Purpose


To provide balloting group members with single comment entry instructions for sponsor ballots.

Procedure

You have arrived at this screen -- Single Comment Entry -- through clicking the "single comment entry" button on the "Manage myBallot Activity" screen.

  • Use the on-screen form displayed to submit your comments one at a time, and use the attachment mechanism to upload a file in any format.

  • Ensure that you comply with the Comment Submittal Guidelines.

  • Click OK when done.

    VERY IMPORTANT!!!


      Be sure to follow the comment formatting guidelines below for each field in the on-screen form for single comment submittal. Failure to comply with these guidelines may compromise your upload and result in an error code. Note that non-ASCII text will be detected and flagged as an error on the single comment form.

    Category

    - Choose General, Technical, or Editorial from the drop-down box.

    Page

    -This field requires numeric input -- use integers only. No roman numerals or alpha characters will be accepted by the system. In addition, no decimal points, hyphens, slashes, etc., and no enhanced text (no bold, italic, underscore, etc.). If you would like to reference a page that does not have a number, leave this field blank and enter the page description in the COMMENT field.

    Sub-clause

    - Enter the subclause number here -- here, you can use roman numerals, alpha characters, decimal points, etc.

    Line #

    - This field requires numeric input -- use integers only. No roman numerals or alpha characters will be accepted by the system. In addition, no decimal points, hyphens, slashes, etc., and no enhanced text (no bold, italic, underscore, etc.)

    Comment

    - Enter your comment here -- this field will hold up to 4000 characters.

    Proposed Change

    - Your proposed change is entered here. This field will hold up to 4000 characters.

      Other Important Information



      1.

      "Must be Satisfied" Comments

      • If your vote is Negative, you can select a checkbox, "Must be Satisfied." This means that that comment must be addressed to your satisfaction for you to change your vote to Affirmative during the next ballot recirculation. If you have not yet voted, the data will be stored by the system until you submit your vote.

      • If your vote is Affirmative, you will not be provided with the checkbox, "Must be Satisfied." Sponsor action on any comment associated with an Affirmative vote is solely at his/her discretion.



        2.

        Viewing/Submitting Own Comments, and Viewing Other Balloter's Comments

        • If you are a balloter, you can view your own comments at any time while the ballot is open, but you cannot view other balloter's comments.

        • After the ballot closes, the project normally goes to "Comment Resolution" stage. Then, you can view the comments you submitted but you can no longer submit new comments, and you cannot view any other balloter's comments.

        • After comment resolution stage, the project then moves either to "Submitted to RevCom" stage or to "Recirculation" stage.

        • In "Submitted to RevCom" stage, you can view your own comments, and view other balloter's comments.

        • In "Recirculation" stage, you can submit and view your own comments while the ballot is open, but you can view other balloter's comments from prior (closed) recirculations only (not the current circulation).



          3.

          Revising/Deleting Own Comments

          • You cannot revise a comment that you have submitted while the ballot is open or at any other time. The only way to revise a comment that you have been submitted is to submit another comment containing the modification and you must do this while the ballot is open.

          • You cannot delete a comment after you have submitted it. If you submit comment in error, submit another comment explaining the incorrect comment.
