Manage Boilerplate Text PurposeFor IEEE Staff use in "managing" (i.e., adding, deleting, revising) boilerplate text for stock myBallot transmittals.
ProcedureThis screen allows staff to review/revise boilerplate text as follows:
Current Transmittals: Invitation Letter (Email) -- used as an announcement email to notify users that creation of a ballot group has commenced for a specific Sponsor Ballot. This email should provide the recipient information about the project and instructions about how to enroll in the ballot group. It is sent to all those identified in the Initiate Invitation process which is an action of the Sponsor/Ballot Designee. Ballot Letter (Email) -- used as an announcement email to notify the ballot group members of the opening of a specific Sponsor Ballot. This email should provide the recipient with information about the ballot and instructions on where to go to submit comments and votes. Extension Letter (Email) -- Not currently in use. Instead, automatic emails are sent through myBallot to notify ballot group members that a ballot period has been extended. Recirculation Letter (Email) -- used as an announcement email to notify the ballot group members of the opening of a recirculation ballot. This email should provide the recipient with information about the recirculation and instructions on where to go to submit comments and votes. Reaffirmation Ballot Letter (Email) -- used as an announcement email to notify the ballot group members of the opening of a Reaffirmation Sponsor Ballot. This email should provide the recipient with information about the ballot and instructions on where to go to submit comments and votes. Stabilized invitation letter (Email) -- used as an announcement email to notify users that creation of a stabilized ballot group has commenced for a specific Sponsor Ballot. This email should provide the recipient information about the project and instructions about how to enroll in the ballot group. It is sent to all those identified in the Initiate Invitation process which is an action of the Sponsor/Ballot Designee. Stabilized ballot letter (Email) -- used as an announcement email to notify the ballot group members of the opening of a specific Sponsor Ballot. This email should provide the recipient with information about the ballot and instructions on where to go to submit comments and votes. If a change is made here, all subsequent boilerplate transmittals are so changed. The boilerplate text also uses specific boilerplate variables throughout the text.
